If you are a government or public-sector employee, the visa is rarely the slow part. Leave sanction, the NOC from your competent authority and the employer letter all have to exist, agree with each other, and cover your exact travel dates. We check that chain before anything else is started.

1Do you handle multiple employees at once?

Yes, and it is usually simpler than filing them separately. Several employee applications run against one point of contact, one shared checklist template adapted per traveller, and one consolidated GST invoice — which is what a finance team wants instead of a pile of individual receipts. Each applicant still gets their own file built on their own documents; batching changes the admin around the applications, never the substance of them. Where travellers are going to different countries or on different dates, we sequence them so the tightest deadline is worked first.

2I am a government employee. What is different about my file?

The permission chain, and the fact that it runs slower than the visa. You will typically need leave sanction from your department, an NOC or ex-India leave permission from the competent authority depending on your service rules, and an employer letter on official letterhead — and all three have to agree with your itinerary to the day. Start the NOC first: it is the longest lead time in your file and the part you control least, and everything else can be prepared while it moves. The other recurring problem is identity — service records, PAN and passport often carry the name in three different forms, and we reconcile those before submission rather than after a query. What we cannot do is influence your department's internal approval; we work to whatever date it lands on.

3Our travel dates are fixed. Can you work to a deadline?

We plan backwards from the date and tell you at the outset whether it is realistic. Three things sit between today and the trip: preparing documents properly, waiting for an appointment slot, and the embassy's own processing. The middle one is the risk — slot availability is set by the visa centre's queue, not by us or by how much you pay, and it is routinely the longest stretch. If your date cannot absorb the current wait for that country, we say so before you pay rather than take the file and hope it lands.

4Will we get an invoice we can book as a company expense?

Yes — a GST invoice from Pro Lifeset Overseas Pvt Ltd, GSTIN 03AAOCP3999C1Z5, for every payment, carrying our registered company name so your accounts team can book it without querying who was paid. Government and visa-centre fees are charged at cost and shown as separate lines from our service fee, so an auditor can see exactly which rupee went to the embassy and which to us. 5Do our employees have to come to your office?

Usually not at all. The consultation, document collection, file preparation, submission and tracking are all handled remotely — phone, WhatsApp, email, and pickup and delivery of physical documents where that is needed. There is exactly one step nobody can do on the traveller's behalf: biometrics at the visa application centre, which requires the applicant in person. We book that slot and brief them on precisely what to carry and what happens at the counter.

6Can you help with the invitation letter from the overseas company?

We tell you exactly what that country's mission expects the invitation to contain — the host's registration details, the purpose and dates of the visit, who bears which costs, and the signatory's authority — and we review the draft your host sends before it goes anywhere near the file. What we will not do is write it on the host's behalf or supply an invitation ourselves. An invitation from a company you have no genuine business with is misrepresentation, and the consequence lands on your employee's passport, not on the person who arranged it.

7At the centre they pushed us to buy premium services. Do we need them?

Usually not. Visa application centres sell optional add-ons at the counter — priority lounges, form-filling assistance, courier upgrades, photo services — and they are promoted hard. Charges are set by the centre and vary by country, but they commonly run to several thousand rupees per applicant, often around ₹5,000, and for a team of five that is real money. What they buy is a more comfortable visit. What they do not buy is a better decision or, in most cases, a faster one: the officer assesses the file, not the lounge you waited in. The two things that genuinely shorten your timeline are a file complete enough that nobody writes back asking for a missing document, and an appointment booked early enough that the queue is not your bottleneck. Both are free. We will tell you honestly which add-on is worth taking for your specific route — occasionally one is — and which is simply being sold to you.

8Are you actually available outside office hours?

Our office runs Monday to Saturday, 9am to 6pm IST, and that is when it is staffed for walk-ins and general enquiries. Corporate and priority accounts are different: you get round-the-clock access, because business travel does not respect office hours and a submission problem at 10pm is still a problem. If a document query comes up the night before an appointment, or a travel date shifts on a Sunday, you reach us. We would rather answer late than have you miss a slot that took weeks to get.

9What if an employee has a previous refusal?

It gets declared, and the file is built specifically to answer the ground it was refused on. This matters more for business travellers than for anyone else: someone who needs to travel repeatedly cannot afford a misrepresentation finding on their record. Embassies retain refusal data and several share it, so a concealed refusal does not stay hidden — it converts a recoverable situation into a far more serious one that can shut down travel for years. Declared and addressed, a past refusal is a normal, winnable case.
