What is a NOC / leave approval letter for a visa?

A No Objection Certificate (NOC) — also called a leave approval or employer sponsorship letter — is a formal statement issued by your employer confirming that you are employed with them, that they have approved your leave for the travel dates, and that they have no objection to you visiting the destination country for the stated purpose.

For most tourist, business and short-stay visitor visas, the embassy uses it to answer three unspoken questions: Do you have stable employment? Will you return to that job? And is someone accountable for your absence? A well-drafted NOC answers all three on one page.

A NOC never guarantees a visa — but a missing or sloppy one weakens an otherwise strong file.

Who needs one — and who doesn't

  • Salaried employees: Almost always need a NOC / leave approval letter for Schengen, UK, USA, Canada, Australia and Gulf visitor visas.
  • Self-employed / business owners: Instead of a NOC, submit a business registration certificate, GST returns and a self-declaration of your travel and return plans.
  • Students: Provide a bonafide certificate and NOC from your college or university.
  • Retired / homemakers: Not applicable — use pension proof, spouse's employment or sponsorship documents instead.

What every strong NOC must contain

Company letterhead & stamp. Printed on official letterhead with the company logo, full address, phone, email and a rubber stamp beside the signatory's signature.

Date & reference number. Issued within the last 30 days. An older letter looks recycled and invites doubt.

Employee details. Your full name (as per passport), designation, employee ID, date of joining and monthly/annual salary.

Approved leave dates. The exact from–to dates that match your flight and hotel bookings.

Purpose & destination country. "Tourism to France" or "business meeting in Germany" — clear and specific.

Return commitment. A line confirming you will resume duties on a stated date, and that your position is being held.

Some embassies (and many Gulf employers) prefer a short leave-sanction note rather than a full NOC. Keep it lean.

Do you need the NOC translated?

For most English-language embassies (UK, USA, Canada, Australia, Ireland) an English NOC is accepted directly. For Schengen and some other consulates, the NOC in English is generally fine, but if your employer issues it in a regional language, you may need a certified English translation. When in doubt, issue the letter in English from the start — it is the simplest path.

Frequently asked questions

Is a NOC compulsory for a tourist visa?

For salaried applicants, it is either compulsory or strongly expected for almost every major destination. Skipping it forces the officer to guess about your employment ties — never a good position for your file.

Can I write my own NOC and get it signed?

Yes, and this is common practice. Drafting it yourself using a template above and getting HR or a director to review, sign and stamp it is perfectly acceptable. The letter just needs to genuinely come from an authorised person at your employer.

What if my company won't issue one on letterhead?

Push politely — HR issues these routinely. If your organisation genuinely has no letterhead (very small firm), a letter with the company seal, GST number and a business card, backed by salary slips and bank statements, can work. Speak to a counsellor about the exact wording for your case.

How recent should the NOC be?

Aim for within 30 days of submission — many applicants keep it within 15 days to be safe. An older letter suggests you delayed applying and raises avoidable questions.

My salary is credited in cash — what then?

The NOC can still state your salary, but pair it with an ITR, Form 16 and any bank deposits you can show. Cash salaries need stronger supporting proof of your financial ties.
