What is a Schengen visa cover letter and what is its job?

The cover letter does that for them. In one page, in your own voice, it connects the dots: why you are going, when, where, how it is funded, and why you will come home.

Keep it to one page, plain and factual. Follow this seven-part structure top to bottom.
Address it to "The Visa Officer, Embassy / Consulate of [Country], India." No name needed.
Your full name, passport number, city, occupation and employer or business.
Purpose of visit and exact entry/exit dates matching your flights.
Countries and cities, in order, with where you'll stay. Name your main destination.
State clearly whether you are self-funding or being sponsored, and name the funds.
Your ties to India: job, family, property, business — reasons you'll come back.
A polite thank-you, your signature, printed name and date.

Variations: visiting family/friends and business trips
Visiting family or friends
Change the purpose line and add a paragraph naming your host, their relationship to you, their address and their legal status in the country (citizen / resident). Mention the invitation letter and, if relevant, their proof of accommodation and any sponsorship. Example paragraph to insert:
"The purpose of my visit is to meet my [relationship, e.g. brother], [Host Name], who resides at [full address] and is a [citizen / resident] of [Country]. A signed invitation letter, a copy of their residence document and proof of accommodation are enclosed. [I will fund my own trip / My host will sponsor my stay, as confirmed in the enclosed sponsorship letter and their bank statements]."
Business trips
State the purpose as business, name the inviting company abroad and your own employer in India, describe the meetings, conference or training and their dates, and clarify who bears the costs (your company, the host, or both). Reference the invitation letter from the foreign company and the covering letter from your Indian employer confirming your position, salary and that your job continues after the trip.

- Keep it to one page, factual and calm.
- Match every date to your flight and hotel bookings exactly.
- Name your main destination — it must be the country whose consulate you apply to, or where you spend the most nights.
- State clearly who is paying.
- Spell out your ties to India (job, leave letter, family, property, business).
- Sign and date it, and mention that documents are enclosed.
Don't:
- Don't beg, over-promise or write an emotional plea — officers see through it.
- Don't claim anything you can't back with a document.
- Don't leave dates vague or contradicting your flight booking.
- Don't copy a template word-for-word without changing the details (a "[City]" left in is an instant red flag).
- Don't hint at any intention to work or stay longer.
- Don't apply through the wrong country's consulate — this is a common, avoidable rejection.
