The journey.
9 steps from intake to approval. Curved spine on the right shows the natural pace — never as linear as government sites pretend.
- 01
Identify your visa type
Use IRCC's 'Come to Canada' online tool (canada.ca/immigration) to confirm the right visa category, required documents, processing times, and fees for your situation.
- 02
Gather documents and submit online via IRCC Portal
Complete your visa application on the IRCC Portal, upload all supporting documents, and pay the IRCC application fee + biometrics fee (if first time).
- 03
Wait for the Biometric Instruction Letter (BIL)
After submission, IRCC emails you a BIL — this confirms your biometric requirement. You must use THIS BIL for THIS application.
- 04
Book VAC appointment via AMS
As of Feb 21, 2026, appointments are booked through the Appointment Management System (AMS). From Feb 24, 2026 you must upload your BIL to schedule. Each family member needs their own appointment.
- 05
Visit the VAC for biometrics
Attend your VAC appointment. Staff capture fingerprints + digital photo. Submit any documents not uploaded online. Pay VFS service charges. Collect your receipt with tracking number.
- 06
Track your application
Use the tracking ID from the VAC receipt on VFS website, web chat, email, or helpline (1800-266-8858). VFS tracking shows passport LOCATION only, not processing stage. Online applications: check status on IRCC.
- 07
Wait for the Passport Request Letter from IRCC
DO NOT submit your passport until you receive this letter from IRCC. Each family member receives their own letter.
- 08
Submit passport through VAC
Submit original passport + IRCC passport request letter + biometrics sticker copy + VFS consent form. Effective Oct 9, 2023: Only applicant, parents (for minors), or 1 appointed family member can submit.
- 09
Collect your passport and decision
VAC emails you when passport is ready. Collect in person or by courier. Check visa details immediately: validity dates, entries, purpose.
What works
5 levers that flip a borderline case.
- The invitation letter from your Canadian family member is the most important document — detailed, dated, and signed.
- Include proof of relationship clearly — birth certificate for parents/siblings, marriage certificate for spouse.
- If your family member is funding the visit, include their financial documents; otherwise show your own funds.
- If your host is a Canadian citizen / PR, attach a copy of their Canadian passport or PR card.
What kills cases
Top 3 refusal triggers we see.
- 1Weak or generic invitation letter
- 2Host's Canadian status not clearly documented
- 3Insufficient proof of relationship

Before you apply
Two ways to apply for your Canada canada family visit visa (trv).
Do it yourself
the risky route
- You guess which papers Canada actually wants — one missing or wrongly-framed document triggers a refusal.
- You copy a cover letter off YouTube or Google — often the exact template embassies already flag as weak.
- You apply during a known peak-rejection window without realising it.
- Embassy & VFS fees are non-refundable — refused means your money, flights and leave are gone.
- One refusal stamp follows you for life — every future visa, anywhere, must declare it.
With SureshotVisa
the approved route
- A licensed consultant checks your case honestly before you spend a rupee on embassy fees.
- We build your Canada canada family visit visa (trv) file the way the embassy approves — documents, cover letter, financials.
- We catch the weak-ties, funding and intent issues behind 70% of Indian refusals — and fix them first.
- We've rescued hundreds of files that were already refused once and got them approved.
- Govt of Punjab licensed (Licence 849/DC/PTA/PLA/LC-3/2024) · 1200+ approvals.
Why DIY goes wrong
How a self-filed application turns into a refusal.
- 1
You feel ready
A few YouTube videos make the process look simple.
- 2
You file it yourself
You submit a sensitive canada family visit visa (trv) on your own.
- 3
One detail misreads
A small framing slip looks like weak ties or unclear intent.
- 4
Refusal
Now every future visa, anywhere, must declare it.
Once you've been refused, you learn the hard way how much the small details mattered. We'd rather you never collect that first stamp.
